Please read carefully before hiring. These terms incorporate our insurance requirements and legal obligations.
Prior to taking possession of the vehicle, the Hirer must provide the following documentation. Failure to provide satisfactory documentation may result in the hire being refused.
1.1 Identification: The Hirer and any additional driver must provide either:
- (a) One additional form of identification (such as a passport or credit/debit card); or
- (b) Two secondary forms of identification evidencing home address dated within 3 months of the hire (such as a household utility bill, HMRC Tax Notice, or bank statement). Mobile phone contracts or statements are not acceptable.
1.2 Driving Licence Check: The Hirer must provide their driving licence number and a valid “View Driving Licence” check code from www.gov.uk/check-driving-information. The Owner shall inspect the driving licence status online prior to releasing the vehicle.
1.3 Photograph: A photograph of the Hirer and any additional driver shall be taken and retained by the Owner.
1.4 Vehicle Inspection: The Hirer agrees to inspect the vehicle with the Owner both prior to taking custody and upon return, noting any existing damage. The Hirer shall sign to acknowledge the pre-hire condition.
1.5 Accident Procedure: The Hirer acknowledges receipt of an accident report form and agrees to follow the accident procedure provided in the event of any collision or incident.
The vehicle shall only be driven by the Hirer or any named additional driver who meets the following criteria. Any driver who does not meet these criteria must be disclosed to the Owner prior to hire, and any terms imposed by the insurer must be accepted in writing.
2.1 Age and Licence Requirements:
- (a) The driver must hold a full UK or EU driving licence for the class of vehicle being hired.
- (b) The driver must meet the minimum age and maximum age requirements specified by the insurer for the specific vehicle registration.
- (c) The driver must have held their licence for the minimum period specified by the insurer.
2.2 Convictions and Accidents:
- (a) The driver must not have been convicted of any driving offence (excluding parking offences and no more than a combination of two SP and/or TS offences not exceeding 6 penalty points in total in the past 3 years).
- (b) The driver must not have had their driving licence endorsed, suspended, or had penalty points imposed (subject to the exception above).
- (c) The driver must not have had any insurance declined, renewal refused, special terms imposed, or cover cancelled by any motor insurer.
- (d) The driver must not have been involved in more than one accident whilst driving in the past 3 years.
The Hirer and all additional drivers confirm the following:
- 3.1 I have not had a proposal declined, a policy cancelled or renewal refused, nor been required to pay an increased premium or had special conditions imposed by any motor insurance.
- 3.2 I have no physical or mental condition or infirmity and do not suffer from diabetes, fits or any heart condition.
- 3.3 I have not been convicted of any motoring offence during the last five years, nor had my licence suspended during the last ten years, and no prosecution is pending. (Parking offences and not more than a combination of two SP and/or TS offences not exceeding 6 penalty points in total in the past 3 years may be ignored.)
- 3.4 I have not had any accidents and/or claims in the past 36 calendar months. (More than one accident in the past 3 years renders the driver ineligible.)
Driver Declaration: I declare that the information given in this proposal is to the best of my knowledge and belief correct and complete in every detail and that no information has been withheld which might influence the acceptance of this proposal. If in the event of an accident the details above are found to be false I understand the insurance will be void and I hereby agree I will be liable for the full costs incurred.
4.1 Excess: The Hirer agrees to pay the insurance excess amount stated in the hire agreement (currently £1500) in the event of any claim arising from an incident during the hire period.
4.2 Windscreen Cover: Broken glass in a windscreen or window is covered. The excess that applies is the policy excess of £1500, which will be deducted from any settlement. The Owner’s preferred glass supplier is Autoglass (0344 371 0094). The Hirer must report any glass damage immediately and must not arrange repairs without prior authorisation.
4.3 Deposit: The agreed deposit amount is £250. In the event of an ‘own fault’ or ’50/50′ accident, the deposit will not be refunded.
4.4 Height Damage: Any damage above the height of 5 foot (1.52m) is NOT included in any excess or waiver, and the Hirer will be responsible for the full cost of any damage above 5 foot.
The Hirer shall not use the vehicle for, and the Owner shall not permit the vehicle to be used for, the following:
- 5.1 The carriage of goods of an explosive, dangerous, or hazardous nature.
- 5.2 The carriage of goods or passengers for hire and reward or any other form of profit or remuneration (including credit hire).
- 5.3 Re-hiring the vehicle to any third party.
- 5.4 Any use outside England, Wales, and Scotland without the Owner’s prior written consent.
The maximum duration of any single hire or series of repeat hires without prior notification to the insurer shall not exceed 30 days.
7.1 No cash transactions are permitted. All payments must be made by card, bank transfer, or other traceable electronic method as specified by the Owner.
7.2 The Hirer agrees that their signature on the rental agreement constitutes authority to debit their nominated credit or debit card with the total amount due, including any excess, deposit, or additional charges incurred.
No insurance cover applies if the vehicle is stolen or an attempted theft occurs by the Hirer or with the Hirer’s connivance. In such circumstances, the Hirer shall be fully liable for the full value of the vehicle and all associated costs.
The Hirer agrees to keep all vehicle keys in a safe and secure place, not on or in the vehicle, whilst unattended. Failure to do so may invalidate insurance cover.
Failure of the Hirer to disclose any accident or collision occurring over the term of this agreement will result in the Hirer being liable for all subsequent costs, claims and third party damage incurred by South West Storage Solutions Ltd, or their insurers.
The Hirer acknowledges that during the currency of the hiring agreement they shall be liable as the owner of the vehicle in respect of:
- (a) Any fixed penalty offence or contravention committed in respect of that vehicle under Part III of the Road Traffic Offenders Act 1977.
- (b) Any excess parking charge which may be incurred in respect of that vehicle in pursuance of an order under Section 45 and/or 46 of the Road Traffic Regulation Act 1984.
- (c) Any penalty charge incurred under the Road Traffic Act 1991 and Traffic Management Act of 2004.
- (d) Any Parking Charges issued in accordance with the Protection of Freedom Act 2012.
- (e) Any charge, parking charge or penalty charge incurred under a charging scheme.
The Hirer acknowledges that this liability shall extend to any other vehicle let under the same hiring agreement and to any period by which the original period of hiring may be extended.
12.1 The Owner reserves the right to repossess the vehicle at any moment and without hesitation.
12.2 If the vehicle is stolen while on hire, the Hirer will be required to pay the remainder of the contract.
12.3 If the vehicle is put into a police compound for any period of time, the Hirer will be required to pay for the vehicle for the remainder of the contract.
12.4 A tracker may be fitted to the vehicle. If a device is fitted to the vehicle that interfaces with the tracking device, a fine of £500 will be charged to the Hirer.
The Hirer acknowledges that they have read, understood, and agree to comply with the insurance requirements set out in this agreement, and that failure to do so may render the insurance void and make the Hirer fully liable for all costs.
